Import Users from Organisation

With this feature, you can copy users already present in the organisation into a (new) team. The user information from the standard team is used to copy the user into the new team. Changes in the new team will not affect the standard team of the organisation. Users can also be easily deleted from the new team, but they will remain in the organisation. During the import, a new digital business card will automatically be created for each user.
Note: Only users who were added to the team via an integration (e.g., SAP or Azure) or created via CSV or user input and have accepted the invitation will be imported. Users who have not accepted the invitation will not appear in the table.
Import Guide
- Select the team where the users should be imported or create a new team.
- Click on the “Users” tab in the sidebar.
- Click “Import” and select “Import via Organisation.”
- If desired, you can use a template to apply to the users.
- A comprehensive search and filter interface will open. Here, you can select the users you wish to import.
- Click “Import.” The users will then be imported into the team. Depending on the number of users, this may take a few minutes. More details can be found here: Operation Duration for Large Data Sets
Settings
’All’ and ‘Page’ Selection Options
When a term is searched, and the box in the top left is checked, the users selected by the search or filter will be chosen. Depending on the setting, the number of users imported may vary:
- All: All users will be imported, including those not displayed on the current page.
- Page: Only the users displayed on the current page and matching the filter will be imported.
Show and Hide Columns
You can toggle the visibility of columns via the icon in the top right.
Filter and Search Options
The import function offers specific features to easily select users with certain characteristics. The most important functions are explained below:
General Search
The general search (top right) searches all columns for the entered text. Any match found in any column will be displayed as a result.
Column Filter
- Click on the three-dot menu for the column you want to search in.
- Click “Filter by [Column XYZ].”
- Choose the filter type.
The following filter types are available:
Normal Search (Fuzzy)
This search returns a result when the search term appears anywhere in the row for the selected column.
Not Equal
This search returns a result when the search term does not appear anywhere in the row for the selected column.
Empty
This search returns a result when the row in the selected column is empty.
Not Empty
This search returns a result when the row in the selected column is not empty.
Limitations
The import of users is limited to 2000 users per operation. Initially, ensure that the filter is set in such a way that this number is not exceeded. In some cases, more users may need to be imported into a team. In such a case, follow these steps:
- Set the filter as needed.
- Save the search term in your notes (this ensures that you use the same filter for each operation).
- Set “Rows per Page” to 2000.
- Set the “Selection Option” to “Page.”
- Click the checkbox in the top left to select the first 2000 users.
- Click “Select.”
- Repeat the import as necessary until all users are imported.
